Program Phase
You can establish
work phases to track the employee’s progress.
For each phase you
can identify the employee’s work restrictions.

Comments
·
You
may enter ongoing comments or notes.
Each comment is stamped with the user along with the date and time
entered. Once a comment has been entered
and the user exits from the screen, the comments cannot be changed.
Calendar of Modified Work Time
The system will
record the hours the employee worked while on Modified duties or hours.
Site Modifications
Record all changes
(and costs) made to accommodate the employee’s reduced abilities.
Days, Total Site Costs and Other Costs
REVIEW DATES
·
You may enter
tasks that have to be done in relation to this claim. There is a report that provides a list of
tasks that have to be done for a time frame.
·
You may set up a
workflow process. You can predefine standard tasks that must be done for each
claim and for each task indicate the number of days after the first day off.
When a claim is being recorded, on this screen press the Use Standard Review Dates.
The system will load the tasks to be done and determine the date of each
task.
Appointments
·
You can record
all employees activities related to the claim such as hospitalization,
rehabilitation, etc.
·
Type of Appointment below is from a table as determined by the user.
Vocational Rehabilitation
Form Letters
·
The system will
allow you set up standard forms letters and indicate where the variables such
as name, address, etc are to be placed in the letter.
·
It will also
track those letters that require a reply from the recipient.
Document Folder
You may copy and paste any pertinent information that came from
sources such as emails.
This, along with the Documents Links (see below), gives you the
benefit all organizing all of correspondence regarding an event into one
central area.
Document
Links
·
All
documents, photos, letters from physicians, insurance companies, etc can be
linked to a claimt making them easily
accessible.
·
To
link, or attach a document, simply point to the document on your computer and
the system creates a link to it. Even
though the document came from your computer, it will be available to all users
who have access to this function.

When
you wish to view the document, click on the appropriate line and the actual
document will appear for viewing or printing..
User Defined Tables
With the use of tables, Work Accommodation can be customized to suit
your needs regarding restrictions, work assignments, term of program, results of program, condition body parts, appointment types,
program effectiveness and placement priorities. These table are located on the Menu under Setup,
Descriptions.
Managing
Programs
As each employee begins Modified Work or
modified hours, you add the program to the system. You may have employees who are
available for work but are Waiting Placement.
These employees should also be recorded as your system will track them
to avoid anyone “getting lost in the queue”.
From
the menu, click on Manage Program, then New Program.

Select the
employee.
·
The first screen
that you see is the Description
where there are two fields that must be completed.
o
Modified Work or
Waiting Placement
o
Program Start Date or Date Available
All other fields regarding the program are
optional.
·
When you have completed
the first screen, click Index to go
to the others screens.
To
review, add or change information to a program:

From the menu,
click on Manage Program, then Open Program.
·
Select the
employee.
·
The system will
list the employee’s programs, both current and past. Select the program.
·
Working from the Directory, go to the desired panels.
·
When finished,
click Next to see another program or click Exit to return to the
menu.
When
an employee completes the program (returns to work or leaves indefinitely),
enter his/her actual completion date.
When a “modified work” position becomes available,
print M68, Waiting Placement. This report
will help you determine which employee can be placed in the position.
